The Govardhan Retreat Center (GRC) welcomes you to our extensive facilities, and we pray that you will have a spiritually enriching experience while staying with us at the foot of Govardhan Hill!  

Our aim is for you to have an uplifting experience, and return often to receive the blessing of this most sacred land.

With that in mind, and in order to maintain sufficient occupancy rates to cover our costs and on-going maintenance, once a reservation is made, the guest has entered a binding contract with the GRC and the below terms and conditions apply in full.  This agreement applies to individuals, all members of a group staying at the GRC, the group organisation or company, or agent.  Group leaders should ensure that the guests are aware of these terms and conditions.

Check in

CHECK-IN TIME : 11: 00 AM.

You are welcome to arrive at any time, day or night, but please advise us of your expected arrival time so that we can welcome you and do our best to accommodate your particular timing.  For guaranteed check-in earlier than 11AM, please contact us a day in advance. Arrival before 6am will require the reservation to start from the previous night.

Check out

CHECK-OUT TIME : 11: 00 AM.

Please check-out with Front Desk so that housekeeping may begin cleaning your room as soon as possible. If you require a later check-out, please contact our Front Desk before 9:00 AM on the day of your departure and we will do our best to accommodate your request up to 1pm.  Late check-outs are subject to availability, and will be will be subject to an hourly rate decided by the front desk after check out time.

Extra persons

Your booking is as contracted for the number of nights and people.  Please contact us if your party exceeds the number booked.  Unless there is prior agreement, additional people staying in the room over and above the number contracted are not allowed (i.e. having three people sleeping in twin bed room). GRC reserves the right to charge the full rate for any unauthorised stay and/or to terminate the booking. If the booked is terminated, we will levy a charge of 75% of the agreed booking fee for any unused nights

Extra bed

A limited number of additional beds can be provided upon request, subject to availability. The charge is 300.00 each, per day. The maximum number of extra beds is one per room. Please note that not all rooms can be furnished with extra beds due to different room arrangements and orientations

Key Deposit 

Room keys will be issued on arrival and payment of a 500/- Rs key deposit, which is returned when the key is returned on departure.  Replacement keys are charged at 500/- Rs each

Identification 

Guests must be at least 18 years of age to check in on their own behalf.

It is mandatory for guests to present valid photo identification at the time of check-in. Such documents can be either an Indian Aadhaar Card, Indian Driver’s License, Indian Voter ID card or Indian or International passport. PAN cards are not accepted. Foreign Nationals are required to present their passport and valid visa. GRC reserves the right to refuse check-in in the absence of a valid identification document.

Privacy

Govardhan Retreat Centre retains your contact details as an integral part of the booking process. We are required by law to retain your registration

Special Requests

We will make every effort to honour special requests such as a specific floor or room number, adjacent rooms, extra bed, etc. upon your arrival. All special requests are noted on reservations and we will do our best to accommodate. However, the availability of these items, and specific rooms, cannot be guaranteed in advance and subject to change.

Children

Children sharing a bed with a parent will not be charged. Children requiring an additional bed will be charged as for the extra adult rate (300 Rs per night).

The GRC supports ISKCON’s Child Protection Guidelines in all respect. If you are the parent, guardian, or chaperone of children aged 14 and under, you are personally and legally responsible for, and must supervise them at all times. For safety reasons, please do not leave children unattended in guest rooms or allow them to roam the Center property unsupervised.  GRC management cannot take responsibility for incidents pertaining to children.

Payment & Cancellation

Reservation

GUEST REGISTRATION : We require valid contact information from the guest making the reservations including first and last name, address, phone number, email. The names of all guests occupying the room must be registered as well.

Please advise any changes (dates, number of persons etc) as early as possible so that GRC can check if these changes are possible and amend the booking accordingly.

In leu of a formal written agreement, regular GRC rates apply.

Deposit

To confirm the booking a 25% deposit is required, with a further 50% within 30 days and the balance payable at the time of check-in.  This applies to all bookings whether individual, group or facility hire (hall, seminar rooms, kitchen).

Payment

GRC prefers to take online payment (Paypal/RTGS/IFSC/Bank Transfer/UPI).

Tax

GST / Taxes are applicable in all pricing.

Cancellation

GRC is unable to offer refunds, but will hold unused deposits as credit for future bookings.

Cancellation of individual room bookings provides a 100% credit on the deposit if advised more than 20 days before the arrival date. 

When cancellation is between 10 and 20 days before arrival date, 50% of the deposit will be held as credit and the remainder is cancellation fee. 

When cancellation is  between 5 and 10 days in advance of arrival date,  25% of the deposit will be held as credit and 75% retained as cancellation fee.

There is no deposit credit if cancellation is within 5 days of the arrival date

Large group bookings (more than 10 rooms) and facility hiring (hall /seminar rooms /kitchen) must be cancelled 8 weeks prior to arrival date with 10% retained as cancellation fee (the remaining 60% of the deposit will be

credited for future bookings).  Cancellation less than 8 weeks prior to arrival date will incur a 20% cancellation fee with the balance held as credit. 

Once guests are checked-in, bookings are non-refundable. Any changes regarding the date, room category, duration of stay of your booking will require you to cancel your initial booking and re-book your stay. GRC is not responsible for weather conditions, personal emergencies, or schedule changes.

Room Cleaning & Linen

Room cleaning and linen change is arranged through reception, as the guest requests.   Housekeeping is available between the hours of 9:00 AM to 4:00 PM.  Guests must remain present during cleaning as the GRC cannot take responsibility for lost items. Please contact our Front Desk staff if you have any additional questions or concerns

Noise

Due to the GRC’s spiritual focus, it is required that guests, particularly those in groups, minimise noise during the evenings that could cause disturbance to other guests in the GRC premises. It is anticipated that guests will conduct themselves in a respectable, and decent manner.

Appropriate Behaviour

The GRC, in accordance with general ISKCON policy and principles, requires guests to follow the strict observance of these four restrictions:

  • No eating of meat, fish or eggs (including onion and garlic)
  • No Intoxications (tea and coffee)
  • No gambling
  • No Illicit sex

 

Additionally – smoking, alcohol, gambling, prostitution, contraband / smuggled goods, weapons, explosives, flammable objects, poisons, drugs, animals, non-vegetarian and / or pungent food – are all strictly prohibited in GRC premises.

 

As these principles are cornerstones of ISKCON’s behavioural requirements, any violation of these will result in immediate removal from the property

Smoking

GRC is 100% smoke-free. For safety and to assure that our facility is not exposed to items or actions that create an odour which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet, walls, and furniture, we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, cooking, cigars, candle burning, the use or diffusing of patchouli oil or other strong-smelling plant-based essential oils or synthetic products in our facility.   Moderate use of incense is acceptable.

​A standard cleaning charge of 2000/- Rs will be levied on guests who smoke or use any of the above in their rooms

Food

Non Vegetarian and / or Pungent food is not allowed in the GRC premises.

Pets are not allowed

Visitors

Visitors must notify Front Desk upon their arrival. Visitors must be accompanied by the registered guest at all times. As a registered guest, you are responsible for your visitor at all times.  No visitors to the GRC are allowed in guest rooms after 9:00PM, and guests may be charged an Extra Person fee for guests on property after 9:00 PM

Paid Services

Use of AC and Heating

AC and heating is provided as needed. Heating incurs an additional charge. Please run the AC/heater at a reasonable temperature (between 22 and 24), and ensure you turn it off when leaving the room or otherwise not in need

Laundry

A hired laundry service is available. Please see the front desk to avail of this service. GRC is not party to the specifics of this service

Medical Assistance

For regular illnesses:

  • Group organizers are responsible for the medical needs of their group members.
  • For individual bookings, please inform us of your illness at the front desk

In case of emergency sickness, the front desk will provide information on local doctors and hospitals, along with necessary transportation. GRC is situated in a rural area, medical facilities are some distance away.

Main Kitchen Use

The GRC provides kitchen facilities, on a rental basis, for all kinds of small and big groups. Kitchens are equipped with the required utensils that must be accounted for at the end of each use. Machines in the kitchen must be used only for their designated purpose and be fully cleaned after use. Any loss of kitchen equipment or materials will be charged to the user. No changes to the facility and the materials therein are allowed. GRC is not responsible for items left behind in the kitchen.

Cleanliness is the responsibility of the user and must be maintained at all times.

The GRC does not provide water for cooking, and the drinking water facility should not be used for cooking. Both water and LPG gas can be provided by the GRC at an additional charge. Permission from the GRC must be granted before any cooking takes place outside of the kitchen. When cooking takes place outside of the kitchen (for example, at large events), any damage to GRC because of such cooking will be charged to the user. Any accident that may happen during the use of the kitchen is not the responsibility of the GRC.

Small Kitchen Use

The small kitchens are available for rent for individual use (for a family or 2-3 adults—not for quantity cooking). The above rules for the main kitchen apply for the small kitchens as well. Additionally, the doors must be locked after every use.

Halls

Kirtan Hall

The Kirtan Hall may be used for kathas and kirtan. These functions are provided with chairs, mattresses and sound system.

Only GRC’s authorized sound engineer may operate the sound system. He is provided to user at an additional rate.

Any damage to chairs, mattresses, windows, floor and other items will be charged to the user.

Decorations are not the responsibility of the GRC, but must be done in conjunction with the GRC to make sure no tampering or damage to the building is done.

The AC unit in the hall is provided by the GRC but the running cost, which is additional to the rental charge) is the responsibility of the user

The above applies to the use of the seminar halls with the exception of the AC charges which are included in the rental cost of the seminar halls.

Other Services

Wi-Fi

Access to WiFi is free for our registered guests and is available in the reception building. GRC assumes no liability for guest use

Parking

All vehicles are parked at the risk of the owner.  GRC shall not assume liability or responsibility for any loss or damage to the vehicle, occupants, or contents while operated or parked on or near the premises

Security

Guests are expected to lock the door of their rooms when leaving the room or when sleeping. For the convenience of the Guest, safety deposit lockers are provided in the room to store any valuables.

The Management will not in any way whatsoever be responsible for any loss / or damage to the Guest’s belongings or any other property from either the room or the locker or any other part of the hotel for any cause including theft of pilferage.

Fire Safety

We reserve the right to take action against any guest found to have tampered or interfered with any fire detection equipment throughout the Guest House, including detector heads in public areas and bedrooms, break glass points, fire hoses and fire extinguishers. Guests found to have tampered with any fire detection or fire fighting equipment will be charged with any costs incurred by the center due to their actions and additionally may be asked to leave the premises. Should the fact that fire fighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right to send an invoice for the amount to the registered address.

Photographs

Using photographs and videos taken in the GRC  for commercial or public purposes is prohibited.

Lost property

LOST & FOUND POLICY: GRC assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value to you, please call us immediately, or  email and we will try to assist you in locating your lost item.

FOUND ITEMS: GRC is not responsible for any item left behind by a guest. However, any item, with the exception of perishable items, left behind by our guests and found after departure by Housekeeping will be collected, logged in, and kept in a secure location for collection by the owner for up to thirty (30) days. Reasonable effort will be made to notify the guest that an item has found. Perishable items, underwear, and miscellaneous toiletries will be discarded.

RETURN: We would be happy to return your lost item(s) to you. Your credit card will be charged packaging and postage, plus a 25% handling fee. A separate receipt will be mailed to you. GRC is not responsible for any item lost or misdirected during shipment. 

UNCLAIMED ITEMS / NO CONTACT: Lost & Found items are held for thirty (30) days while we attempt to contact the guest. If guest contact information is incorrect or mobile phone mailbox is full and we are unable to contact the guest during the thirty (30) day holding period, the unclaimed item(s) are thrown away, given to local organizations, or disposed of accordingly by GRC

Damaged Property

We reserve the right to charge guests the cost of rectifying any damage caused by the guest to GRC property or structure. Should this damage be identified after the guest has departed, we reserve the right to send an invoice for the amount to the registered address.

We reserve the right to charge guests the cost of replacing any items that are removed from the premises by them without consent. The charge will be the full replacement amount of the missing item, including any carriage charges. If an item is found to be missing after the guest has departed, we reserve the right to  send an invoice for the amount to the registered address.

Placing posters and banners anywhere on GRC property must be done on consultation with the front desk. Unauthorized placing of posters, advertisement and banners is prohibited.

Right to refuse

GRC reserve the right to refuse service to anyone for any reason(s). GRC will refuse to admit or refuse service or accommodation, or may remove a person without refund, who refuses to abide by the reasonable standards and policies established by Indian Law and the owners for the operation and management of the GRC. GRC will refuse service or evict a guest: for refusal or failure to pay for accommodations; is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion; acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times; seeks to use the GRC for an unlawful purpose; seeks to bring into the GRC a weapon, an explosive or hazardous or toxic substance, any object or substance that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to GRC property or guests; causes or permits persons to exceed the allowable occupancy of room; refuses to abide by the reasonable standards or policies established by GRC for the operation and management of the facility. GRC is not obliged to provide an explanation when refusing service.

Complaints

For any complaints about housekeeping, room maintenance or facility, please contact the Reception.

For any complaints about the GRC management, please contact   grcgovardhan@gmail.com.   In the event of a complaint, we will investigate and respond in a timely and courteous manner. Where appropriate, we will make amends as soon as possible.

Law

Government rules and regulations and application of laws

Guest are requested to observe, abide by confirm to and be bound by all applicable acts and laws and Government rules and regulations in force from time to time.

Nothing hereinabove shall continue or be deemed to constitute, or create any tenancy or sub-tenancy, or any other right to interact in the premises or any part of portion thereof, in favor of any Guest or resident or visitor, and the Management shall always be deemed to be in full and absolute possession of the whole of the premises.

RIght to Change

CHANGES & MODIFICATION TO THE POLICY / HOUSE RULES: The GRC reserves the right to amend, modify, change, cancel, vary or add to these Policies / House Rules or the arrangements and content featured on our GRC website at any time without prior notice. Please check our website regularly for updates to Policies / House Rules. Any modification to these Policies / House Rules that occurs before your departure is considered a part of your reservations agreement with us. A copy of these Policies / House Rules are located on our website, and available from Front Desk staff upon request.
